How to Prepare Photos and Documents for Online Application Forms

Fix the usual upload errors on job, exam, college, and visa portals: photo dimensions, file size limits in KB, single-PDF uploads, and locked files.

Why uploads get rejected

Online application portals are strict about files, and their error messages are rarely helpful. Almost every rejection comes down to one of five things:

  • The photo has the wrong dimensions or shape
  • The file is larger than the limit, often given in KB
  • The format is wrong, for example PNG or HEIC where only JPG is accepted
  • Several documents need to be combined into one PDF
  • The PDF is password protected

Read the instructions page once before you start and note the requirements for each upload slot: format, maximum size, and any dimensions. Then prepare each file to match.

Passport-style photos and signatures

Forms usually give exact pixel dimensions, such as 200 by 230 for a photo, and a size range such as 20 to 50 KB. A phone photo is thousands of pixels wide and several megabytes, so it needs three steps:

  • Crop to the right shape: in Crop Image, the 3:4 portrait preset is close to most passport-style specifications. Trim the sides first if you are not centred in the frame.
  • Resize to the exact pixels: in Resize Image, turn off Keep proportions and enter the width and height from the form. Because you already cropped to roughly the right shape, nothing looks stretched.
  • Get under the size limit: in Compress Image, choose the form's maximum, such as Under 50 KB, or type it with Other size. The result is a JPG under that limit, usually close to it, so it normally clears the minimum as well.

For signatures, sign in dark ink on plain white paper, photograph it in good light, crop tightly around the signature, resize to the dimensions the form gives, and compress it under the signature limit, often 20 KB. Exam-specific sizes are listed in our guide to photo and signature sizes for online forms.

Getting the format right

If a form accepts only JPG and your file is PNG, or a WebP you saved from the web, convert it with PNG to JPG. JPG and JPEG are the same format, so either name is fine.

Photos taken on iPhones may be in HEIC format. Most phones convert automatically when you choose the photo through a browser upload, but if a form rejects the file, set the camera to save in the most compatible format, or take a screenshot of the photo as a quick workaround.

Combining several documents into one PDF

Many portals give a single upload slot for certificates, mark sheets, or supporting documents. Put them in one PDF:

  • Photographed documents: use Scan to PDF to crop each page to the paper's edges and combine them
  • Existing PDFs: add them to Merge PDF, arrange them in the order the form lists, and merge
  • A mix of both: turn the photos into a PDF first, then merge that with the other PDFs

Follow the order the instructions give. Reviewers look for documents in that sequence.

When the PDF is too large

Size limits of 1 to 2 MB for a PDF are common, and some portals allow only 200 or 300 KB. Photographed pages are almost always the cause, because each photo can be several megabytes.

  • Shrink the PDF with Compress PDF: choose the portal's limit, such as Under 200 KB, and it keeps the pages as sharp as that limit allows
  • Remove pages that are not required, such as blank backs of certificates, with Remove PDF Pages
  • If the limit applies per file, split a large bundle into parts with Split PDF

Locked PDFs and final checks

Portals often reject password-protected PDFs, such as bank statements or salary slips. If you know the password, save an unlocked copy with Unlock PDF and upload that. Delete the unlocked copy afterwards if it contains financial details.

Before you press submit:

  • Open every file you prepared and check it is readable and the right way up
  • Confirm each file is under its limit by checking its size in your file manager
  • Make sure names on documents match the name on the application
  • Keep a folder with the final versions in case the portal asks you to upload again

All the tools mentioned here run in your browser, so ID documents and certificates are not uploaded anywhere except the portal you choose.
